Job Duties


The Project Development section is seeking a Business Coordinator with knowledge of business management practices to provide administrative support for the NOVA project development by assisting with various duties as needed for the Project Development Program.

The selected candidate’s duties will include a variety of tasks, including but not limited to processing L&D and LAP invoices, employee reimbursements, creating and entering data to purchase orders, office supplies, organizing events, inventory requests, expenditure reports, and journal entries.

Track and prepare monthly NVTA billing, coordinate with project managers, CO AR team, and localities as needed. Communicate issues with supervisor on a regular basis, providing updates.

Provide Team Leader assistance w/Dashboard Reports and Projections as required. Provide support as needed support with oversight reports and LAP monthly Project review process. Assist in monitoring the various section budgets for Project Development and the pre-scoping expenditures.

Maintain the PEACE room file cabinets in an organized manner and continue scanning files to convert them to electronic format


Minimum Qualifications


Strong administrative support experience with project management or coordination in a professional environment.

Ability to monitor and control spending to ensure alignment with budgetary constraints and organizational goals.

Experience in preparing reports, conducting analyses and presenting projections that effectively communicate findings.

Experience in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong written and verbal communication skills.

Ability to interact effectively with diverse stakeholders.

Excellent organizational and time-management skills.

Ability to manage multiple tasks and prioritize effectively.

Strong attention to detail and accuracy in completing tasks.

Ability to work collaboratively within a team and contribute positively to team dynamics

Willingness to adapt to changing priorities and work environments

Skilled in providing excellent customer service to internal/external customers..


Additional Considerations


• A combination of training, experience or education in Business, Accounting or related field desired.
• Senior level management experience in an engineering organization, transportation organization or public sector environment. Experience leading and influencing organizational change.
• Administrative experience coordinating a variety of business functions for a designated program area.
• Experience with state budgeting practices and procedures.
• Experience using Cardinal system.
